Oakland,CA-Tips for Creating a Virtual Home Office to Meet With Clients on Zoom

With so many companies now requiring their employees to work remotely because of the COVID-19 pandemic, many of them need to rethink their office set-up.  Some people aren’t used to working from home full-time so you’ll need to prepare a Home Zoom Studio, where you can still collaborate with co-workers and clients about projects. We will offer you some tips about getting the right equipment, minimizing distracting, and looking professional.

Invest in a Quality Set-up

While you can use your laptop’s built-in camera and audio, it will sound more professional if you upgrade your system. Find a quiet office area, where you can set-up your computer or laptop with a large monitor. Make sure your office is well-lit and invest in a high-quality webcam for these video meetings. Consider a new set of noise-cancelling headphones since they will cut out the background chatter and allow you to focus.

Minimize Distractions

Set yourself up in a closed room, where the rest of your family can’t bother you. Consider hanging a curtain to hide any mess in that room. Better yet, use some virtual backgrounds to hide the chaos. Remember to turn off the notifications from your phone and social media so that they won’t ding incessantly throughout the meeting.

Dress Professional

Dress in the clothes you’d wear the office if you have a virtual meeting. You don’t want your coworkers or your clients to see you in your old sweats you wear to clean the house.

Choose Video Over Audio-Only When You Can

Most people prefer video meetings because they allow face-to-face interaction and personal communication, which is ideal for maintaining personal and professional relationships. Video options like Zoom or Microsoft Teams let you share your screen, which is useful in job training or presentations. If there are some employees who aren’t comfortable with the video aspect, they can dial into many of these meeting apps by phone.

Learn Zoom Features

If you use Zoom, learn the most important features of the studio and make sure your clients and co-workers know them too.  Use the “waiting room” feature, which allows the host to control how many attendees to let it at a time.  I’ve learned it’s helpful to mute your microphone to cut out background noise and only unmute it when you need to speak.  Consider sending out a training video that will help them get prepared.
