This is where our services at Employee Retention Benefits (ERB) come in. We have various tools to help brokers, both with the changeover and with the practical aspects of being paperless, but first a word on why brokers should go paperless.
Why To Go Paperless For Your Enrollment
While there are too many advantages of going paperless to list them all, some of the highlights are:
- Not needing to spend as much money on papers
- No misplacing of paperwork, as everything is logged online
- The enrollment is completed faster
On top of those things, there’s the better security. It’s regulation to make sure all sensitive information and documents are secured, after all. While online things can be hacked, this leaves a trace of some sort, but if someone were to take pictures or make copies of physical papers, there possibly wouldn’t be any sign at all, making online records actually more secure.
The Process Of Going Paperless For Your Enrollment
Doing a complete overhaul of your document management system in order to start going paperless is often too much to even consider doing at once, especially without help.
Therefore, this process of shifting over to being paperless is something we at ERB are able and willing to help with.
To start, we recommend shifting over one type of document at a time so you can familiarize yourself with how it works, what part of your process needs to change, and get confident in using it before you do another type of document. For example, digitize all the health records first, then the billing system, etc.
Helpful Supporting Expertise
As you change over, there will be times when you need help or advice, which is why we offer services like our Healthcare Reform Support, Manager Helpline, and Compliance Expertise.
These services mean our experts will help give you ideas on how to help your clients adjust to the change with as little confusion as possible, will assist you with troubleshooting as you learn how to use new systems, and more.
Various Online Tools
Online tools, again, are too many to completely list.
The main one is electronic health records (EHR) systems. These have many functions, the most popular of which is providing a portal for people to check their status and other data.
Another tool is some sort of secure data storage, such as cloud storage. This is a server to store relevant documents so they can be accessed both by the client and, when needed, by the broker as well.
Additionally, though not always technically online, there are communication networks to allow you, the broker, to communicate with your clients over a secure network without needing to use your own private number or information.
