Many times we are asked if we can handle large quantity orders. This is one of those times. We have been working with a fulfilment managment group that handles all of the point of sale material for HP for the last year. Most of the orders have been small quantities but highly specialized signage. This time was different.
Our sales team has worked tirelessly to demonstrate that we can handle large orders almost as easily as small orders. Our process revolves around our president's experience managing installations of complex networks during his time with AT&T. At the very core, we use PCM standards to ensure timely communication and delivery of our projects. When a large order is quoted, we communicate the project throughout Optimum Signs so that all the team members understand what their part of the project is going to entail. We get feedback from each person on the proposal to make sure that we address any possible "land mines" up front. All of this input is always a part of the final discussion with our clients so that we can work through any possible problems BEFORE they become a problem. When the order comes in, we discuss it in our morning production meeting. Everyone is brought up to speed on their portion of the project and timelines are set. Our project manager then communicates the tenative timeline back to the customer via a detailed project plan including milestones. This is where we really stand out. As the milestones approach, we begin to have a weekly project call with our customer to bring them up to speed on the project. We discuss any concerns, we address any delays in the project (waiting on permits, etc.) and we update the project plan. This way our customers always know where the project is and the date for completion. This also facilitates communication between Optimum Signs and our clients. In the sign business, communication is vital to a successful project and is the single largest reason for customer dissatisfaction.
When we started this project, we had to decide on the proper stand. After discussions with the customer about how they are going to use these stands, we decided on an upgraded retractable banner stand. The stand comes with fold out feet and a lifetime warranty on the mechanism. All the characteristics needed for a stand that will be used in multiple locations over the next 6 months. The artwork was provided to us from HP so printing the banners was easy. We used a clay coated, non-curl poly to print the banners. This will ensure that the banners look great for their useful life. We ended up prodcing 60 stands/day and delivered the 300+ banners and stands well before the expected delivery day.
