Over the last few weeks that conference and convention photographers of Caught in the Moment Photography have been writing brief articles intended to provide helpful tips for special event planners that may be considering planning a special event in and around Washington, DC.  This brief article is a continuation of that series and covers what perhaps would be considered intangible aspects of hosting a special event in and around Washington, DC.

  • Consider the weather. Washington, DC has a humid subtropical climate, which means that it can be hot and humid in the summer and cold and snowy in the winter. Be sure to choose a date and time for your event that will be comfortable for your guests.  Along these same line take into consideration that daylight may be short during the winter months.
  • Be flexible. Obviously this tip is not specific to holding an event in Washington, DC but when things don’t go according to plan, be prepared to make changes if necessary. For example, if it rains on the day of your event, you may need to move it indoors.
  • Of course as photographers it is almost mandated that we include on the list to hire an experienced conference and convention photographer that knows how to capture corporate events so that there is documentation of how well the event went and if there is room for improvements.
  • Have fun! Planning a special event can be a lot of work, but it should also be enjoyable. Take some time to relax and enjoy the process.

Washington, DC is a beautiful city with many amenities that cater out of town visitors that will help special event planners create a memorable experience for the national professional association or whoever the attendees of the special event happen to be.
