How to Maximize Your Productivity as a Leader

BY: Hank Sullivan, Strategic Solutions
As a Strategic Solutions business coach in Hayward, I'm obsessed with productivity. My clients are high-achieving leaders, entrepreneurs and professionals who want to maximize their time and accelerate results. With the right strategies, small tweaks can lead to enormous gains in your productivity and performance. But with so much advice out there, what really works? In this article, I'll share science-based productivity tips that I've used successfully with clients in Hayward and beyond. Whether you lead an organization or manage your own workload, these proven techniques will help you concentration, achieve more and reduce burnout.

The #1 Productivity Killer: Multitasking

First, we need to eliminate the primary destroyer of productivity - multitasking. Research shows our brains simply can't handle multiple tasks simultaneously. When you multitask, your brain is overloaded with competing stimuli. Focus and performance suffer across all tasks. You end up taking longer and making more mistakes. For peak productivity, make multitasking off limits. Tackle one task at a time. I teach my clients mindfulness techniques to avoid distractions and stay present. With practice, you can train your brain to focus deeply on the task at hand.

Batch Similar Tasks Together

Look at your to-do list. See tasks that can be grouped together? Batching similar activities - like making phone calls or answering emails - boosts productivity. Here's why:
  • Reduces context switching: Changing gears between different tasks hogs mental energy.
  • Creates focus time: You can enter "flow state" absorbed in one activity.
  • Improves memory: Your brain recalls details better when focused on one task type.
  • Allows scale: You tackle more tasks in one batch efficiently.
Whenever possible, carve out blocks of time dedicated to just one type of activity. You'll get more done with less effort.

Schedule Your Most Important Priorities

Don't let others dictate your schedule. Reserve blocks of time for your most important work. I coach clients to identify their ONE Thing - the singular priority that would make everything else easier if achieved. Then we block time to focus on this priority first. What's your ONE Thing right now? Schedule time for it before anything else. Protect that time against distractions and interruptions. This "timeboxing" ensures your most vital projects and priorities get done, instead of perpetually falling lower on your list.

Take More Breaks

Counter-intuitively, taking regular breaks boosts productivity. Here's why:
  • Rest restores mental energy and focus. Working nonstop leads to fatigue, errors and burnout.
  • Breaks stimulate creativity. New solutions and insights arise when you detach from a problem.
  • You make fewer mistakes. Mental accuracy improves after a brief rest.
I recommend the Pomodoro Technique to clients. Set a timer for 25 minutes of focused work. Then take a 5 minute break. After four work intervals, take a 15-20 minute break. This structured rhythm balances intense effort with recovery.

Cut Out Low-Value Activities

Not all tasks drive results. As a productivity coach in Hayward, CA, I push clients to cut low-value activities. Ask yourself: does this task directly support my most important goals? If not, remove or delegate it. Common low-value tasks that can be minimized include:
  • Excessive meetings: Decline non-essential meetings. Shorten or combine others.
  • Repeated reports: Evaluate if certain reports can be simplified, automated or paused.
  • Low-impact email: Limit checking email to specific blocks of time. Unsubscribe from non-vital lists.
  • Social media scrolling: Set defined time limits for discretionary social media use.
The 80/20 principle states 80% of outputs come from 20% of activities. Keep maximizing your most effective activities.

Master Your Mindset

Finally, mindset is crucial. Limit self-doubt and perfectionism. I coach clients to reframe unhelpful thoughts like: "I don't feel like working" becomes "I'll work just for 25 minutes to get started." "I keep failing" becomes "Every attempt brings me closer to success." Adopt a growth mindset. With effort and smart strategies, you can boost productivity. Defeat negative thought patterns through mindfulness, journaling or reframing exercises.
