Our habits dictate our results, but we’re often entrenched in our ways so much that it’s difficult to determine what is actually hurting us and what is needed to keep the gears of the business turning.

What is an urgent task?

Some employees and clients feel their personal needs are most urgent, and that you should acknowledge them as urgent too. Unfortunately, their biased and narrow focus may not notice that their needs are not urgent. Sometimes, the needs that are brought to you are also not important, but try telling them that!

Nonetheless, identifying truly urgent tasks is crucial to maximizing the impact of your time and contribution on the organization. Starting with the most urgent and important items first is the best way to influence impact most significantly in a commensurately short time.

Remember that true objectivity is required here. Urgent tasks cannot be called urgent just because a client, customer, or employee thinks they are urgent. They must truly be time-based. You as a leader must know that it is urgent because you have objectively less time to complete the task versus other items on your docket.

You must know if it is urgent independent of the opinions of others.

What is an important task?

Important tasks have a direct influence on your bottom line or are integral to the function of your organization. It’s not enough to think or feel an action or task is important. There has to be a method to the madness, if you will. There has to be evidence that the task contributes to your organization’s ability to perform or produce their product.

When thinking about the commonly cited 80-20 Rule, which dictates that we reap 80% of our profits from 20% of our activities, we might find that only 20% of our workload is necessary to maximize our profits and our contribution. The remainder is minutia, essentially time wasted to smooth over rough edges, work out kinks, or manage items that would be best delegated to a subordinate or crossed out the list permanently instead.
