How Photography Added Value to Conference Exhibit Floor with Head Shots First in Anaheim Now Nationwide

Caught in the Moment Photography photographed 150 headshots as part of our recent conference photography coverage. Although not recommended to the faint of heart, this is a service that both the event planners and the attendees have come to expect on the vendor exhibit floor.

This all began when the conference planners in Anaheim, California wanted to add value to the association’s members and to the exhibit floor.  They explained their vision and wondered if we had the means to bring them to fruition.  We began with a disclaimer, that in order for us fulfill this requirement, we were not going to be able to spend several minutes per person, but instead although we would remain courteous and attentive to detail the reality was that we would only be able to spend just over a minute per person.

Because the planners hadn’t offered anything of this magnitude before at their exhibit booth, and frankly because they didn’t know what kind of response they would have; they allocated three of their staff members just to aid in the flow process.  Having so many of the staff overlooking how we worked was a terrific opportunity because at the end of the two hour session, they couldn’t have been more impressed with our attention to detail to each of the attendees and although they could clearly see that they were one of the many; each felt that special attention that is given when taking a head shot.

That was year one; at this year’s exhibit floor there was a literal run to the association’s booth to sign up for the headshots.  The association’s staff, now reduced to two to allot for breaks during the expo, placed a limit to only the first 150 attendees who signed up but did mention to those that didn’t make the cut to check back in at the conclusion of the exhibit floor to see if there was any more room for walk-ups.

We were happy to have been able to accommodate all but one of the attendees that arrived once we had already begun the breakdown of the set-up.   All in all this kind of service was a win for all concerned.  The attendees know that they got a heck of a deal at having a professional portrait done, the association benefited at having such a value added to their booth, and Caught in the Moment secured another job for the next year’s convention!
