Adopting a system to keep your office organized is fundamental for a productive work environment. Try implementing organization rituals, such as walking around daily to return everything to its place and having a “surface free,” policy.  

  • Divide your office into centers: Dividing your small business into centers or zones helps it run more effectively. Some of the most important zones include a working zone, where the desks and computers are, and an active files zone, where you store current projects. Some offices find it beneficial to have a collaboration area, where workers can brainstorm on projects together.  Establish a break area, where workers can relax and recharge themselves.
  • Set up a filing system:  Set up a filing system by dividing files into folders. This works whether they are paper files or digital ones. Set up different folders such as project meeting or work-in-progress.  You should have folders for completed projects and folders for articles that you want to read later.
  • Keep your desk or work area clutter-free: Every item on your workspace should serve a purpose. Otherwise, it’s just turning into chaotic clutter and stress.  If you don’t use these items frequently, dispose of them or store them away in a drawer or a filing cabinet. Placing drawer dividers inside your desk works wonders to find pens, post-its, and staples quickly.
  • Find a proper place for everything: If you have a designated place for everything, it makes it easier for your employees to find it and return the materials. This includes research materials, office supplies, and printing cartridges. This also pertains to your own desk area. Keeping your to-do list, your pens, and even your coffee mug in the same place eases distractions.
  • Do a thorough weekly maintenance and clean-up: Every Friday before you leave, take time to reorganize your work area. This prevents papers from piling up and chaos overtaking your desk. Many times, you’ll find unneeded papers cluttered on your desk that you can just shred for recycling. After that, simply wipe down your desk and computer screen so that it will be clean and fresh on Monday morning.
